Start where the work already arrives
For many small businesses, customer questions, sales opportunities, invoices, supplier updates and internal requests all arrive by email. An AI assistant is most useful when it stays beside that work and helps turn each message into the next appropriate action.
Go beyond summarizing a thread
Summaries are useful, but they do not finish the task. A practical assistant should classify the message, apply the right label, prepare a reply in the user’s tone, route or forward the conversation when required and keep track of what is still waiting.
Turn repeated requests into routines
If the same process happens every day or every week, the user should be able to describe the outcome once. The routine can then run on a schedule, bring back sensitive actions for approval and record what it completed.
Keep approval visible
Drafts and important customer-facing actions should remain reviewable. A person needs to be able to approve, edit, reject, stop or change the routine without learning a technical workflow language.
Show the result
Coworkers need to know what still requires attention. Team leads need to see bottlenecks. Owners need company and department-level signals. Reporting is what turns invisible automation into accountable business work.
