How to automate recurring work without a workflow builder

A good automation begins with the business outcome, not with boxes, arrows and technical triggers.

Describe the outcome first

Begin with a sentence that contains the event, the action, the timing and the approval point. For example: “Forward invoices from this supplier to finance, keep them out of my inbox and alert me if none arrives by Friday.”

Translate the sentence into visible rules

The system should show exactly what it will create: a sender rule, a label, an inbox preference, a forwarding action and a missing-email alert. The user confirms the setup before the routine begins.

Run in the background

Once active, the routine should work without requiring the user to repeat the instruction. Exceptions and actions that need judgment return to the appropriate person.

Make change easy

The same routine should be editable through normal conversation or through its settings. Users should not need a developer to change a recipient, schedule, label or approval requirement.

Measure the outcome

Useful measures include work completed, items still waiting, response time, missed follow-ups and approval delays. The point is not to count AI actions; it is to see whether business work moved forward.
